Build an AI Deadline Radar for everything that expires:
Personal
- passports and visas
- insurance policies
- driving licences
- memberships

Business

- permits and licences
- insurance
- employee certifications
- domains and software agreements
- supplier documents
1. Create one simple table
Use these columns:
Item | Owner | Expiry date | Renewal lead time | Action date | Required documents | Responsible person | Status | Source
Do not upload full passports, identity documents or confidential contracts when a date and document type are enough.
2. Let AI find the risk
Act as a deadline and renewal coordinator.
Analyze this table and:
1. Calculate each action date using the stated renewal lead time
2. Group items due within 7, 30, 60 and 90 days
3. Flag missing dates, owners and required documents
4. Identify deadlines that may affect travel, payments or operations
5. Create a prioritized action list
Do not invent legal requirements or renewal periods.
If a rule or date is missing, mark it UNKNOWN.
Return both a table and a short weekly checklist.
3. Add calendar reminders
Create reminders for:
- renewal window opening
- 90 days remaining
- 30 days remaining
- 7 days remaining
- final expiry date
For critical documents, assign a responsible person and a backup owner.
4. Review it once a month
Ask AI:
What changed since the previous version?
What requires action this month?
Which deadlines still have no confirmed owner?
The result is not another folder full of documents.
It is a small system that tells you what needs attention before it becomes urgent.
AI will not renew anything for you.
But it can make forgetting almost impossible.

Analyze this sanitized transaction table and:
1. Normalize different versions of the same merchant name
2. Find likely recurring payments
3. Identify weekly, monthly, quarterly and annual billing
4. Calculate the latest payment, total paid and estimated annual cost
5. Flag price increases, duplicate services and possible free trials that became paid
6. Assign a confidence level to every finding
7. Mark uncertain transactions as UNKNOWN instead of guessing
Return a table with:
Merchant | Frequency | Latest amount | Total paid | Annual estimate | Warning | Confidence
3. Add one human column
Create a final decision for every subscription:
- KEEP
- CANCEL
- REPLACE
- INVESTIGATE
For a business account, also add:
- owner
- team using it
- last confirmed use
- cheaper alternative
- cancellation deadline
4. Verify before cancelling
AI can detect patterns, but it cannot know whether a tool is essential, whether a contract has penalties or whether a payment is reimbursed elsewhere.
Check every recommendation manually.
One spreadsheet can reveal hundreds in forgotten annual spending.
That is a better use of AI than asking it to write another generic productivity list.

4. Compare the full journey, not just the next ticket.
AI should organize the chaos. Live sources make the decision real.
