For Second-Year Engineering Students Who Want to Change Their Department: Here’s what you need to know and how the process works: 1. Find a Swap Partner: First, identify a fellow student who is willing to swap departments with you. This can be arranged through any means, whether by agreement or mutual understanding. This is the initial step. 2. Write a Formal Letter: Draft a formal letter addressed to the school head office. Look up the format for letters intended for educational institutions like ASTU. It's advisable to write the letter by hand, as there are rumors that typed or printed letters may not be accepted. Ensure your letter is polite, clear, and flows smoothly. 3. Include a Convincing Reason: Clearly state the reason for your request to swap departments. A strong justification is essential; otherwise, your request may be declined. 4. Submit the Letter: Deliver your letter to the office of your current department. Hand it to the head's secretary or another staff member. If you’re unsure where to go, ask someone at the office for guidance. 5. Clarify the Subject: In the subject line of your letter, specify your current department and the department you wish to change to. 6. Be Concise: Keep your letter brief and to the point. Avoid lengthy explanations, as they may lead to your letter being disregarded. 7. Understand the Swap Requirement: Ensure that your request is for a swap, not just a transfer. If the department you wish to join is at full capacity, having a swap partner is crucial. For example, if you're in SE or CSE, these departments are often full, while ECE and EPCE may have openings. If you want to switch from SE/CSE to ECE or EPCE, approval is likely even without a swap partner. Conversely, if you wish to move from ECE/EPCE to SE/CSE without a swap partner, your request may be declined. 8.
