*Minutes of the Special General Body Meeting (“SGBM”)* Held on Sunday, JANUARY 07-2024, at 10.00 AM at the Club House, Rainbow Vistas, Moosapet, Hyderabad – 500018 For want of quorum, the meeting was adjourned for 30 minutes and for another 15 minutes owing to the importance of the agenda, up to 10.45 AM. Number of Members present: 31 Item No. 1: Budget approval for Rainbow Vistas Re-painting work. Committee member presented the details of the project and financial allocations and clarified all the queries that were raised by the Members appropriately. After replying to the queries raised by the Members, the following resolution was proposed. The resolution was carried unanimously selected option #2 (50% corpus interest, 50% residents contribution). Separate Invoices to be raised of ₹12 per sq. ft. will be raised, along with maintenance invoices, split into four instalments (Feb, Mar, Apr, June-2024). Every invoice to be cleared by 20th of particular month. 1.Coordination: Tenants are requested to coordinate with their owners for timely payment. 2.Penalties: Similar penalty and clauses as maintenance will apply. 3.Vendor Selection: Sub-committee to finalize vendors in the next couple of days, including negotiations. Work orders will be released tower by tower. 4.Cost-Saving Suggestions: a)Recently Painted Areas: Considering the recent painting in ground and basement lobbies, pillars, and club inside certain areas, a suggestion has been made to opt for a single coat and explore cost reductions. Will be taken up by committee b)Corridor & lobbies Enamel Paint: Another suggestion proposes using full corridor enamel paint of the same color instead of emulsion. Will be taken up by committee. 5.Future Planning: Long-Term Plan: Residents have suggested preparing a comprehensive plan for future painting budgets and major repairs. This plan will be presented in the upcoming Annual General Meeting (AGM) for discussion and approval. 6.Wait till nearby new projects gets completed - Suggestion to consider waiting till the new projects coming up in the nearby areas gets completed. 7.Remove windows sticker & Cleaning - Suggestion to remove windows sticker while cleaning the window paneles. Committee will coordinate with vendor and execute. 8. ⁠For clarity on the GST component, we will consult with a CA. As you are aware, our upcoming Special General Body Meeting (SGBM) is scheduled for January 7, 2024. During this meeting, we will be discussing a significant community project - the repainting of our premises. The Community Committee for Repainting and Value Addition (CCRVAOWA) will be presenting the proposed budget for this project. There are two options for funding, and your input through voting is crucial in determining the course of action. Option 1 involves utilizing the total funds from the corpus account. On the other hand, Option 2 suggests utilizing 50% from the corpus account and collecting the remaining 50% from individual flats. The estimated budget for this project is around 1,40,00,000 INR, with a variance of plus or minus 10 lakhs. In the event that the majority of the community votes for Option 2, an approximate collection of 12 INR per square foot will be required. This amount will be collected in two installments, and invoices will be raised to respective flats. Tenants are kindly requested to forward the invoices to their owners, and the respective amounts should be collected promptly.
