UniWay is a multilingual university admissions and opportunities platform built for students in Central Asia.

Thank you for the personal mention to the conference secretariat but I want to clarify my part in the org team and everything that happened during the process. Im the, the person blamed for the sponsor issues. But you forgot to mention that the location changed three times even before the volunteer problems, that I talked about the problems, and said I couldn't reach some sponsors (Red Bull, for example) but you still listed them and made them my responsibility. No one worked for "months"; active work on the MUN began ONLY IN THE LAST WEEK before the conderence when I was unavailable, and blaming me for the failure is shameful

| 6 | We would like to clarify several points regarding the conference and the concerns that have been raised.
First, all awards, including Best Chair and Best Volunteer, were decided collectively by the Organizing Team after discussing the contributions of the participants throughout the conference. These decisions were not made by one individual but by the team as a whole. Every organizing team member had the opportunity to share their opinion before the final decision was made. We respect that not everyone will agree with the outcome, but once the conference has concluded, it would not be fair or professional to reconsider awards simply because some participants are dissatisfied.
Regarding the Best Volunteer award, we noticed that most of the complaints came from volunteers who believed they deserved the recognition. However, awards were based on consistency, responsibility, initiative, and overall contribution throughout the conference—not on expectations or assumptions. Simply expecting an award does not guarantee receiving one. Every volunteer’s work was observed throughout the event, and the final decision reflected those observations.
Secondly, organizing a conference is the responsibility of an Organizing Team, not one person. The name itself reflects that success depends on collective effort. Unfortunately, not every member actively fulfilled their responsibilities. While some members dedicated weeks and even months of their time to planning, coordinating, solving problems, and working until the very last moment, others became unresponsive for more than three weeks or were minimally involved despite having important responsibilities. This inevitably placed a much heavier workload on those who remained committed.
The situation with sponsors and partners is one example. We had opportunities to collaborate with companies such as Red Bull, Bellissimo, Hydrolife, Cambridge LC, and SATashkent. Unfortunately, communication regarding these partnerships stopped unexpectedly, forcing the rest of the Organizing Team to search for alternatives under severe time pressure. Despite these challenges, we continued working to ensure the conference could still take place successfully.
Another challenge involved our venue. Our original location offered significantly better facilities and support for delegates. However, due to incidents involving volunteer conduct that did not meet the standards we had communicated beforehand, we lost the opportunity to use that venue and had to relocate. This decision was beyond the control of the Secretariat and required us to reorganize many aspects of the conference on short notice.
We would also like to address the concerns regarding food. We prepared more than 200 lunch packs, and approximately 50–60 remained after distribution. For this reason, it is difficult to understand claims that there was insufficient food available. Additionally, we intentionally chose cold beverages instead of coffee or tea during the coffee break because the conference was held in the middle of summer, and we believed this would better suit the weather and participants’ preferences.
Finally, regarding the certificates, many participants have asked why they have not yet been distributed. We have also been waiting. The Organizing Team has been waiting for several days to receive the final electronic certificates containing the required signatures and individually prepared names for every delegate, chair, and volunteer. Certificates cannot be sent until the final approved versions are completed. We ask everyone for patience while this process is finalized.
No conference is perfect. Every large event encounters unexpected difficulties, and ours was no exception. Despite numerous obstacles, many members of the Secretariat and Organizing Team devoted countless hours to making this conference possible. | 19 |
| 7 | We would like to sincerely apologize for the shortcomings that occurred during the conference.
As the organizing team, we invested a great deal of time, effort, and dedication into making this event successful. Unfortunately, despite our preparation, we faced significant challenges on the day of the conference.
A number of our organizing team members and volunteers were not as active or engaged as their responsibilities required. As a result, it became extremely difficult to effectively coordinate essential areas such as media operations, volunteer management, delegate assistance, and overall event logistics. We also encountered situations where individuals who were not participating in the conference entered the venue, making organization even more challenging.
We are especially grateful to those volunteers and team members who worked tirelessly throughout the event, often taking on responsibilities beyond their assigned roles. Their commitment did not go unnoticed, and we deeply appreciate every contribution they made.
At the same time, we regret that some volunteers did not fulfill the responsibilities they had committed to. Despite multiple reminders and requests to assist where help was needed, some chose not to participate actively, which placed additional pressure on those who were working. This made it much more difficult to maintain the standard of organization we had envisioned.
As the organizers, we take full responsibility for these issues. This experience has taught us valuable lessons about team coordination, accountability, and preparation. We sincerely apologize for any inconvenience caused and appreciate everyone’s patience, understanding, and support. We remain committed to learning from this experience and ensuring that our future conferences are organized to an even higher standard. | 557 |
