مل بالشكل المناسب في الوقت المناسب، وبالأسلوب المناسب مع كل شخص. إدارة المهام وتوجيهها من اللحظة التي بدأ فيها المشروع، هنالك هدفًا يسعى فريق العمل إلى إنجازه، وبالطبع سيكون الهدف الكبير مقسم إلى أهداف أصغر، وكل هدف صغير مُقسم إلى عدد آخر من الأهداف الأصغر، حتى يكون إنجاز كل هدف مكون من مجموعة من المهمات الصغيرة. يقوم مدير المشروع بتوجيه هذه المهام الصغيرة بشكل فعّال على أعضاء الفريق طبقًا لخبرات الأشخاص على أن تنتهي هذه المهام في مواعيد مُحددة وبأعلى جودة ممكنة؛ بذلك يكون المدير مُحافظًا على القيد الثلاثي في المشروعات (الزمن، التكلفة، نطاق الأعمال) بهدف تقديم المنتج المطلوب بأعلى جودة ممكنة. إدارة الخلافات وحلها قد تنشب خلافات بين أعضاء الفريق، وعلى المدير الذكي أن يوجه هذه الخلافات بشكل ذكي حتى لا يُجرَح أحدهم أو يتحول بدلًا من خدمة أهداف المشروع إلى الدفاع عن نفسه وعن وجهات نظره أمام من يخالفه. التحفيز والمشاركة الفعّالة من صفات المدير الناجح أيضًا أنه يُحفّز فريق العمل من ناحية ويُشجّعهم على المشاركة في تنمية المشروع وعرض أفكارهم الابتكارية التي تساهم في إنجاح المشروع من ناحية أخرى، كذلك مكافئة المُجدّين ومعاقبة الخاملين. إدارة المعلومات عليك كمدير للمشروع أن تدير المعلومات التي يتم تداولها سواءً في اجتماعات الشركة أو المعلومات التي تُقدّم إليك من أعضاء الفريق، ويُمكن تقسيم المعلومات إلى ثلاث أنواع رئيسية: المعلومات المباشرة: وهي التي تفرضها إدارة المشروع كأمر أساسي لا يقبل الجدل، وبالتالي تُفرض فرضًا على الجميع. المعلومات غير ذات العلاقة: كالحوارات الجانبية في الاجتماعات، والمعلومات التي لا تتعلق بالمشروع وفكرته من قريب أو من بعيد، وهذه المعلومات لا يُسمح لها أن يتم تداولها في الاجتماعات تحديدًا ولا أن تشغل بال العاملين. المعلومات غير المباشرة: وهي معلومات يمكن خلطها بمعلومات أخرى لاستخلاص أفكارًا أخرى جديدة وابتكارية، ويجب التركيز على هذه النوعية من المعلومات. الخلاصة: إدارة فريق العمل بشكل ناجح وفعّال تبدأ قبل تشكيل فريق العمل؛ باختيار مديرًا بارعًا ثم اختيار أفضل الأشخاص للوظائف الشاغرة في مشروعك، ثم تنتقل إلى أيدي مدير المشروع كل الأدوار ليقوم بدوره في التخطيط والتحليل وتوزيع الأدوار، وتحفيز الفريق وتحريكهم نحو الهدف المُحدد في خطة العمل، فهل لديك أي معلومة أخرى لتُضاف إلى مهام المدير كي يتمكن من إدارة فريق العمل بشكل ناجح وفعّال؟

كيفية إدارة فريق العمل بشكل ناجح وفعّال لا يخفى على أحدٍ أن العمل الجماعي يُساعد على تحقيق الأهداف بشكلٍ أسرع من العمل الفردي، ولمّا كانت الحاجة لتشكيل فريق عمل مُدرّب وقادر على إنجاز المهام التي تُكلفها الشركة له ضرورة قصوى ودعامة أساسية لا غنى عنها لأي مشروع، كان من الواجب أن نفتح نقاشًا مُبسطًا لأصحاب الشركات الناشئة للوقوف على أساسيات إدارة فرق العمل بشكل ناجح وفعّال. قبل تشكيل فريق العمل الهدف من تشكيل فرق العمل تحقيق أهداف المشروع طبقًا لخطة العمل التي تُقررها الإدارة العليا للشركة عند إعداد دراسات جدوى المشروع، إذن يُمكنني القول أن فريق العمل ما هو إلا أداة تستخدمها الإدارة لتحقيق خطة العمل، ولكي تكتمل قوة وفعالية هذه الأداة فإنه من الواجب اختيار أفضل العناصر فيها لكل مهمة من المهام أي وضع الشخص المناسب في المكان المناسب. كيف تختار الشخص المناسب؟ الشخص المناسب للوظيفة هو الشخص الذي يتوفر لديه 4 أشياء، هي: شغف بالوظيفة؛ فهو لا يسعى إليها ليحصل على الراتب آخر الشهر ولكن لأنه يعشق هذه الوظيفة ويريد الحصول عليها بشغف. لديه معرفة مناسبة بالدور الذي سيقوم به بحيث يكون ملم على الأقل بكافة المعلومات والمتطلبات الأساسية للوظيفة. لديه كافة المهارات المطلوبة للتعامل مع مُعطيات الوظيفة ومتطلباتها. لديه خبرة كافية تؤهله لإنجاح المشروع وتساعده على اكتساب مزيدًا من الخبرات بشكل أسرع. ما هي الوظائف المتاحة في المشروع؟ قبل أن تبدأ في مرحلة تشكيل الفريق من الواجب تحديد الوظائف التي تحتاج لها وعدد الموظفين، فعلى سبيل المثال إذا كُنت سوف تُطلق منتجًا الكترونيًا جديدًا؛ فانت بحاجة إلى فريق برمجي للتعامل مع الموقع من ناحية البرمجة والحماية، وبحاجة لفريق تسويقي لتسويق الموقع في الشبكات الاجتماعية وتهيئته لمحركات البحث SEO، وكل الفريق أيّ كان حجمه بحاجة إلى مدير بدرجة قائد مُخضرم. بعد تحديد الوظائف المطلوبة ستبدأ بعدها في مرحلة الإعلان عن الوظائف واستقبال الطلبات واختيار الأفضل وهكذا إلى أن تنتهي من تشكيل الفريق ويُصبح جاهزًا بالشكل المرسوم في خطة العمل وخطة تشغيل المشروع. اختيار مديرًا للمشروع دور مدير المشروع من أهم الأدوار على الإطلاق، وللأسف يُهمل بعض أصحاب الشركات الناشئة هذه الخطوة فيُترك كل شخص يعمل كما يريد، وهذا الأسلوب يتسم بالخطورة؛ فربما ينجح الأشخاص في إنجاح المشروع بشكل فعّال إذا كانوا مُدربين ولكن في الغالب يفشل المشروع، بسبب عدم وجود رقيب على الجميع أو ربما بسبب تضارب وجهات النظر والاستراتيجيات المتضاربة التي تُتّبع بما لا يهدف هدف المشروع الجوهري ولا يسير بالمشروع في الاتجاه المرسوم مُسبقًا. إذن من الواجب اختيار مدير للمشروع يكون لديه العلم الكافي بكل متطلبات إدارة مثل هذه المشاريع، ولديه خبرات سابقة في إدارة مشروعات مشابهة، ويكون هدفه هو التخطيط والتحليل وتحديد المهام وتوزيع الأدوار على الفريق والتأكد أن العمل يسير وفقًا لخطة العمل المرسومة وإن تعددت الطرق والوسائل المستخدمة لتحقيق هذه الخطة. اقرأ أيضًا: كيف تكوّن فريقًا للعمل عن بُعد؟ بعد تشكيل فريق العمل بعد أن تنتهي مهمة تكوين فريق العمل، تقع المسؤولية على المدير المباشر لهذا الفريق، وسيكون مطلوبًا منه التعامل بذكاء مع الأمور التالية: الاجتماع بفريق العمل دوريًا إذا كان لشركتك مقر رئيسي يجتمع فيه فريق العمل، أو إذا كُنت معتمدًا على المُستقلين وليس هناك مقرًا رئيسًا وتجتمعون على الإنترنت، في كل الحالات سيكون عليك كمدير اجراء اجتماعات دورية مع الفريق العامل معك إن كان صغيرًا (بضع أشخاص) أو على الأقل مع مدراء الأقسام إن كان العدد كبيرًا، على أن يكون الاجتماع بشكل دوري (أسبوعي، نصف شهري أو شهري). هدف الاجتماع هو استخدام العصف الذهني والتحدث بصوت عالٍ للوصول إلى حلول مبتكرة لتحقيق الأهداف المُقررة، ومناقشة المشاكل التي تواجه الأعضاء العاملين والبحث عن حلول لها، كذلك يتم توزيع الأدوار والمهام المطلوبة من كل شخص. بإمكانك أن تعتبر أن الاجتماع عبارة عن محطة استراحة في وسط الطريق، فيها يتم شحن النفوس بالأمل، وتعريفهم بالنقاط والأهداف التي تم تحقيقها، وتحفيزهم على تحقيق الأهداف التي لم تنتهي بعد كذلك توعيتهم بشأن المعوقات التي قد تواجههم وابتكار حلول فعّالة لتخطيها. التواصل الفعّال مع الجميع مدير المشروع هو المرجع الأساسي الذي يعود إليه كل شخص، ليس فقط من العاملين ولكن أيضًا من الرعاة الرسمين للمشروع، وإدارة المشروع العليا (مجلس الإدارة)، والزبائن وكل من له مصلحة في هذا المشروع؛ لذلك يجب على مدير المشروع أن يمتلك مقومات التواصل الفعّال وأن يكون ملم بكل كبيرة وصغيرة عن المشروع وأن يُحسن اتخاذ القرارات. من المقترح أيضًا للمدير الناجح ألا يكون فظًا حتى لا ينفر الجميع منه ولا أن يكون لينًا حتى لا يكون أضحوكة المستهترين، ولكن أن يكون وسطًا بين الاثنين بحيث يتعا
